This policy explains how Thinkable Systems, the software arm of Thinkable Group, handles information when you visit thinkablesystems.com or contact us about the assistant service. We keep this short and plain on purpose.
Information we collect
We only collect what we need to talk to you and run the service.
- Information you give us. When you book a call or email us, we receive your name, your email address, the role or niche you describe, and anything you write in your message.
- Information collected automatically. We use no analytics or advertising cookies.
How we use your information
- To reply to you, and to schedule and run a setup call.
- To build, host, monitor, and support your assistant if you become a client.
- To send service messages about your account. We do not send marketing unless you ask us to.
- To meet our legal, tax, and accounting obligations.
Legal bases
Where the GDPR applies, we rely on these legal bases: performance of a contract with you, our legitimate interest in answering enquiries and running the business, your consent where we ask for it, and compliance with legal obligations.
Your clients' data and the assistant
The assistant runs on your own AI account. The material you give us to train it, and the conversations your clients have with it, are processed under your account and your control. We help you set it up and keep it current.
Who we share it with
We share information only with the providers that help us operate, such as our booking tool, our email provider, and our hosting. We do not sell personal data.
International transfers
Some providers may process data outside your country.
How long we keep it
We keep enquiry and client records only as long as we need them for the purposes above and to meet legal obligations, then we delete or anonymise them.
Your rights
You can ask to access, correct, delete, export, restrict, or object to our use of your personal data. To make a request, email contact@thinkablesystems.com. You also have the right to complain to a supervisory authority.
Cookies
This site sets no analytics, advertising, or tracking cookies.
Children
The service is for coaches and their businesses. It is not directed to children under 16, and we do not knowingly collect their data.
Changes to this policy
We may update this policy as the service or the law changes. The date at the top shows the current version.
